How to Use Your
Client Profile

Everything you need to know about your BESA Coaching dashboard — from booking sessions and messaging coaches to tracking goals, moods, and milestones.

Quick Start

Log in at besacoaching.com/login and you'll land on your Client Dashboard automatically. Use the tab navigation on the left sidebar to jump between features. All your data is private and encrypted.

Sessions

View, manage, and track all your coaching sessions from one place.

View upcoming sessions

The Sessions tab shows all your confirmed and pending bookings. Each card displays the coach name, service type, date, time, and session status at a glance.

Join a session

Click the "Join Zoom" button on any upcoming session card to open your video call. The Zoom link is also emailed to you at booking and again 24 hours and 1 hour before the session.

Cancel a session

You may cancel a session within 24 hours of booking for a full automatic refund. After that window, cancellations are subject to the platform refund policy. Click "Cancel" on the session card and confirm.

Leave a review

After a session is marked completed, a "Leave Review" button appears. Rate your coach on overall experience, communication, and value, and leave a written comment. Reviews help other clients find great coaches.

Re-book a coach

On any completed session card, click "Book Again" to jump straight to that coach's booking page with your preferred service pre-selected.

Pay outstanding balance

If a session shows a "Pay Now" badge, click it to complete payment via Stripe. Sessions remain in pending status until payment is confirmed.

Pro Tips
  • Add sessions to your Google Calendar using the .ics link in your confirmation email.
  • Enable SMS reminders in Settings so you never miss a session.
  • Check your spam folder if you don't receive a confirmation email within a few minutes.

Messages

Communicate directly with your coaches in a secure, real-time messaging portal.

Open a conversation

The Messages tab shows all your coach conversations in a sidebar sorted by most recent activity. Click any coach name to open the chat thread.

Send a message

Type your message in the input box at the bottom and press Enter or click Send. Messages are delivered instantly and your coach is notified by email.

Online status

A green dot next to a coach's name means they are currently active on the platform. A grey dot means they were last seen more than 5 minutes ago.

Message history

All messages are stored permanently. Scroll up in any conversation to read your full history with that coach.

Pro Tips
  • Use messages to share goals, ask questions between sessions, or send documents to your coach.
  • Keep conversations professional — your coach may reference them during sessions.

Support & Tickets

Submit help requests and track their resolution with the BESA support team.

Open a new ticket

Click "New Ticket" and choose a category (Billing, Technical, Coach Conduct, Refund Request, etc.). Write a clear subject and description, then submit.

Track ticket status

Each ticket shows a status badge: Open, In Progress, or Resolved. Click any ticket to read the full thread including replies from the support team.

Reply to a ticket

Inside an open ticket, type your reply in the text box and click Send. The support team is notified of your reply immediately.

Ticket categories

Choose the most relevant category when opening a ticket — Billing & Payments, Technical Issue, Refund Request, Coach Conduct, Account Access, Session Issue, or General Inquiry. This routes your ticket to the right team.

Pro Tips
  • Include your booking ID or transaction ID when submitting billing or refund tickets for faster resolution.
  • Tickets are typically responded to within 24 business hours.

Resources

Access worksheets, guides, and materials shared by your coaches.

Browse your resources

The Resources tab lists all documents your coaches have shared with you — either directly (just for you) or as public resources available to all their clients.

Download a document

Click the "Download" button on any resource card to save it to your device. The file opens in your browser or downloads automatically depending on the file type.

Document types

Resources can include PDFs, Word documents, Excel spreadsheets, PowerPoint presentations, images, audio files, and ZIP archives.

Public vs. private resources

Resources marked "Public" are available to all of that coach's clients. Resources without that badge were shared specifically with you.

Pro Tips
  • Check this tab after each session — coaches often upload recap notes or homework assignments here.
  • Save important documents to your device as resources may be removed by the coach at any time.

Custom Offers

Review and respond to personalized coaching packages sent by your coaches.

View pending offers

When a coach sends you a custom offer, it appears in the Custom Offers tab with a "Pending" badge. You'll also receive an email notification.

Review offer details

Each offer card shows the offer title, description of what's included, the price, and the expiry date. Read carefully before deciding.

Accept an offer

Click "Accept & Pay" to proceed to Stripe checkout. Once payment is complete, the offer is marked Accepted and your coach is notified.

Decline an offer

If the offer isn't right for you, click "Decline." The offer is closed and your coach is notified. You can always discuss alternatives via Messages.

Expired offers

Offers have an expiry date set by the coach (typically 3–30 days). If you don't respond before the expiry, the offer is automatically marked Expired.

Pro Tips
  • Custom offers are often discounted bundles — they can be better value than booking individual sessions.
  • Message your coach if you have questions about an offer before accepting.

Journal

Keep a private coaching journal to track your thoughts, reflections, and progress.

Write a journal entry

Click "New Entry," give it a title, and write freely. Entries are private — only you can see them.

Browse past entries

All entries are listed in reverse chronological order. Click any entry to read or edit it.

Edit or delete entries

Open any entry and click Edit to update it, or Delete to remove it permanently.

Pro Tips
  • Use your journal to capture insights immediately after a session while they're fresh.
  • Regular journaling between sessions accelerates your coaching progress.

Goals

Set, track, and celebrate your coaching goals.

Create a goal

Click "Add Goal," enter a title and description, set a target date, and choose a category (Career, Health, Finance, etc.).

Update progress

Each goal has a progress slider from 0–100%. Drag it to reflect your current progress. Goals at 100% are automatically marked complete.

Mark a goal complete

Click the checkmark on any goal card to mark it done. Completed goals move to the "Achieved" section.

Delete a goal

Click the trash icon on a goal card to remove it. This action is permanent.

Pro Tips
  • Share your goals with your coach during sessions — they can help you build an action plan.
  • Break large goals into smaller milestones for a better sense of progress.

Mood Tracker

Log your daily mood to identify patterns and share insights with your coach.

Log today's mood

Click "Log Mood," select an emoji that represents how you feel (from Very Bad to Excellent), add an optional note, and save.

View your mood history

The mood chart shows your entries over time. Look for patterns — dips before certain events, improvements after sessions.

Edit a mood entry

Click any entry in the history list to update the mood rating or note.

Pro Tips
  • Log your mood at the same time each day for the most consistent data.
  • Share your mood chart with your coach to give them context before sessions.

Badges & Milestones

Celebrate your coaching journey with achievement badges.

View your badges

The Badges tab shows all earned and locked badges. Earned badges are displayed in full color; locked ones are greyed out with a description of how to earn them.

Session streak badges

Complete sessions consecutively to earn streak badges (3-session, 5-session, 10-session streaks). Streaks reset if you miss a session.

Milestone badges

Milestone badges are awarded for total sessions completed (1st session, 5th, 10th, 25th, 50th). These never reset.

  • Badges are a fun way to stay motivated — try to maintain your streak!

Session Recaps

Read post-session notes and action items written by your coach.

Access recaps

The Session Recaps tab lists all recaps your coaches have written after completed sessions, newest first.

Read a recap

Click any recap card to expand it. Recaps typically include a session summary, key takeaways, action items for you, and notes for the next session.

Email notification

You receive an email when your coach publishes a recap. The email includes the full recap text so you can read it without logging in.

Pro Tips
  • Review your recap before each session to come prepared with updates on your action items.
  • Save important recaps to a document for long-term reference.

Notification Preferences

Control exactly which email notifications you receive from BESA Coaching.

Access notification settings

Go to Settings → Notification Preferences. You'll see three groups: Session Notifications, Coach Communications, and Platform Updates.

Toggle individual notifications

Each notification type has an on/off toggle. Click the toggle to enable or disable that email type. Changes take effect immediately after saving.

Session notifications

Control booking confirmations, 24-hour reminders, 1-hour reminders, reschedule requests, and cancellation updates.

Coach communications

Control coach message alerts, session recap emails, and review request prompts.

Platform updates

Control platform announcements and marketing/promotional emails.

Save your preferences

Click "Save Preferences" after making changes. A green checkmark confirms your settings were saved.

Pro Tips
  • We recommend keeping Session Notifications enabled so you never miss a booking update.
  • You can always unsubscribe from all emails via the unsubscribe link at the bottom of any email.

Settings

Manage your account, SMS reminders, and calendar integrations.

SMS reminders

Enter your phone number and toggle SMS opt-in to receive text reminders 24 hours and 1 hour before each session. Standard messaging rates apply.

Google Calendar sync

Click "Connect Google Calendar" to authorize BESA Coaching to add your sessions to your Google Calendar automatically. Each booking creates a calendar event with the Zoom link included.

Disconnect calendar

Click "Disconnect" at any time to remove the Google Calendar integration. Existing calendar events are not deleted.

Pro Tips
  • SMS reminders are especially useful if you check your phone more than your email.
  • Google Calendar sync works alongside email confirmations — both can be active at the same time.
